EXECUTIVE ASSISTANT

 Spartan Shield Solutions is a rapidly growing veteran-owned accounting and finance outsourcing firm based in Arlington, VA. We serve organizations across all industries, with a focus on government contractors. Spartan Shield works closely with its clients to improve operations, productivity and organization while meeting compliance requirements. We do this through increasing access to up-to-date financial information, reducing inefficiencies and freeing senior management to focus more on revenue generating activities.

Spartan Shield is looking for knowledgeable, driven individuals to help the continued success of the company and the clients we support. The Executive Assistant role is critical in supporting our mission through enabling our CEO and other members of the executive team to deliver superb accounting services. Successful candidates must work well independently in a fast-paced environment.

QUALIFICATIONS


  • A Bachelor’s or equivalent work experience
  • 5+ years of experience
  • Strong background in Microsoft Applications(Word, Excel & PowerPoint)
  • Strong background in Google Drive
  • Strong problem solving and reasoning
  • Exception organization skills
  • Excellent interpersonal skills
  • Strong problem solving and reasoning
  • Able to prioritize and meet multiple competing deadlines
  • Ability to learn new software 
  • Excellent written and oral communication
  • Must be a US Citizen

RESPONSIBILITIES

 

  • Provides executive administrative support to including calendar management, call scheduling, meeting logistics and minutes/action items, leadership conference and offsite logistics, travel coordination support, training support, analyzes administrative processes and policies for improvement, and develops and implements administrative policies to better support the complex organization 
  • Organizes, maintains, tracks, and files documentation in electronic and hard copy formats 
  • Serve as a liaison internally and externally regarding administrative issues; manage relationships with an understanding of audiences and cultivate and maintain solid relationships 
  • Promptly and clearly respond to urgent requests
  • Independently manage and coordinate multiple assigned projects, activities, dates, resources, and dependencies according to priorities and deadlines; set/reset expectations as appropriate
  • Format/Proofreading internal and external communication
  • Planning and preparation for internal events such as birthday celebrations, Team happy hours, etc. 
  • New employee coordination 
  • Consistently nurture and represent our organization, mission/vision, programs, and activities with a strong, positive image both internally and externally 
  • Maintain privacy and discretion across all tasks
